The short answer

What belongs in the brief?

A hotel photography brief should connect the property inventory to the places each image will be used. It needs a room-type matrix, amenity and service coverage, a schedule built around operations and light, named stakeholders, brand requirements, and an agreed delivery plan for direct booking, online travel agents, sales, press, and campaigns.

One editable source of truth for the hotel team, photographer, operations staff, and marketing partners.

Why each section exists

Give the photographer decisions, not adjectives.

01

Commercial purpose and channels

Decide where the image library must work before building the shot list.

  • Property and campaign: Hotel name, location, campaign, refurbishment, or seasonal reason for the shoot
  • Priority guests: Leisure, business, families, couples, groups, weddings, or other real segments
  • Priority channels: Direct booking pages, Google, online travel agents, sales decks, press, email, advertising, or social media
  • Commercial priorities: Room categories, packages, amenities, events, or periods the library must support
02

Inventory and guest journey

Cover the full stay, not just the most photogenic spaces.

  • Room-type matrix: Every active room category, bed setup, view, bathroom, workspace, storage, and accessibility detail
  • Arrival and public spaces: Exterior, entrance, reception, lobby, corridors, lifts, stairs, and wayfinding
  • Food, drink, and amenities: Breakfast, restaurant, bar, room service, pool, spa, gym, workspaces, gardens, and family facilities
  • Service moments: Real, staged, or illustrative guest and staff interactions, with permissions and disclosures agreed
03

Operations and delivery

Make the schedule workable for housekeeping, food and beverage, guests, and the photographer.

  • Shoot schedule: Dates, sunrise or sunset needs, room release times, service windows, and weather alternatives
  • On-site owners: Marketing lead, operations contact, housekeeping contact, food and beverage contact, and approver
  • Brand and styling: Brand rules, props, uniforms, signage, seasonal details, and anything that must be removed
  • Delivery deadline: Date, time, and any staged delivery dates
  • File requirements: Orientation, crop ratios, resolution, colour profile, and file format
  • Usage: Website, listing platform, email, advertising, social media, print, press, or internal use
  • Approval: Name the person who will approve the final selection

The image plan

Three priorities for this property type.

01

Document every sellable category

Photograph each active room type and the practical differences a guest is choosing between.

02

Follow the guest journey

Plan arrival, rooms, amenities, service, food and drink, events, and departure as one useful library.

03

Map images to channels

Record which pages, listings, sales materials, and campaigns each group of images must support.

Accuracy boundary

Every room type, view, layout, access feature, capacity, service, and permanent property detail must match what the guest can actually book. Label illustrative scenes clearly and retain factual property images.
